Thanks for calling <Facility Name>. This is <your name>, how can I help you?"
Example: Thanks for calling Stor It Ville Storage. This is Alec, how can I help you?"
This should be said in a friendly, upbeat manner.
Once you deliver your intro —
“Thanks for calling <facility name>. This is <your name>. How can I help you?”... the customer will begin explaining what they need assistance with.
At that point, your response should be something along the lines of:
“Absolutely! I can help with that. Give me one moment to get logged in and I’ll get you taken care of.”
This is extremely important because it accomplishes a few things:
* It reassures the customer they have reached the correct business
* It lets them know you are actively working to assist them
* It buys you a few moments to get logged into the management software and get properly prepared to help
This small step creates a smoother, more professional customer experience and helps avoid awkward silence while you are getting set up.
If a customer calls in inquiring about pricing, I would like you to adjust the phrase above slightly.
"Absolutely! I can help with that. Give me one moment to get logged in and I'll get you the best rate possible."
"Yeah! I can help with that. Give me one moment and I'll get you the best rate possible."
When a customer calls asking about storage availability, they will usually say something like:
“I was calling to see if you have any storage units available.”
If a customer inquires about pricing and availability, your response should sound something like:
“Absolutely! I can help with that. Give me one moment to get logged in and I’ll get you the best rate possible.”
From there, we want to start a conversation and learn more about what they are planning to store. A great question to ask is:
“Are you needing a smaller unit or a larger unit?”
This helps the customer describe what they are storing and allows you to guide them toward the correct unit size.
Once you understand what size they need, confidently quote the available options. For example:
“We currently have a couple 5x5 units available for $X/month and a 5x10 available for $X/month. Would one of those units work for you?”
Most importantly — ASK for their business.
Do NOT simply give pricing and then sit silently waiting for a response. Be proactive and confidently guide the conversation toward the rental.
Examples:
* “Would one of those units work for you?”
* “Would you like to go ahead and get that rented today?”
* “It’s only a couple minute process and we can get everything set up for your move-in.”
The goal is to confidently assist the customer and guide them toward completing the rental over the phone.
Here's how a typical conversation would go:
* Ring ring ring *
You: Thanks for calling <Facility Name>. This is Alec. How can I help you?"
Caller: I was calling to see if you had any storage units available.
You: Absolutely! I can help with that. Give me one moment to get logged in and I'll get you the best rate possible:
You: Are you needing a small or a big unit?
Caller: I don't need a very large unit. Probably a medium sized unit.
You: Gotcha! We have just a couple 10x10 units going for $xx/mo and a 10x15 going for just $xx/mo. Could one of those units work for you?"
Caller: Yeah, I think the 10x10 would work.
You: Great! To rent the unit, it's just a couple minute process where we get your contact info, payment info and sign the lease. Would you like to go ahead and knock out the rental? It's just a couple minute process.
During the move in process, you are going to come to a section to add insurance to the account. If a facility REQUIRES insurance, you should say the following script:
"Next step here is insurance. Insurance is required with all new rentals. Most people go with our basic plan. Which is $x/ month for $x worth of coverage. We also have a couple premium options. Would you like to go with the basic plan today?"
If a facility does not require insurance, you should say the following script:
"Next step here is insurance. Insurance is recommended with all new rentals. Most people go with our basic plan. Which is $x/ month for $x worth of coverage. We also have a couple premium options. Would you like to go with the basic plan today?""
“...next step is our lease agreement. Because our phone calls are recorded, we have the ability to VERBALLY sign our lease agreement. To give you a quick rundown:
* We are taking the prorated rent today. So you will be paid through the end of this month.
* Rent is due on the 1st of each month
* Other than that, please don’t store any:
* Food
* Flammable material
* And make sure you give us a call when the unit is 100% clean so we can move you out on our end.
* Lastly, it’s just a standard Month to Month agreement and you can move out at any time.
* With that being said, do I have your permission to sign your name and send you a completed copy for your review?”
*Ring Ring Ring*
